How to Compare LED Strip Supplier Quotes: A B2B Checklist

LEDStripStar Product Team 8 Minutes Read

Two LED strip quotations are comparable only when they cover the same product specification, order quantity, included items, packaging and delivery basis. Put those details side by side first. A lower unit price can reflect a different strip, reel length, accessory scope or shipping term.

Use this checklist before choosing a supplier for a distributor order or project bill of quantities. If a field is missing, ask for it in writing instead of filling it in by assumption.

Start with an Identical Specification

Give every supplier the same model requirements. Include the fields that affect use and cost:

  • Strip construction and model, such as COB or SMD and the exact catalog reference.
  • Supply voltage, CCT or color, CRI target, rated power and stated light output.
  • PCB width, LED density, protection construction and indoor or outdoor use.
  • Cut interval, reel length, lead-wire arrangement and any supplied connectors or end caps.
  • Quantity for each specification, not only a combined project total.

The wording “24V COB strip” is not enough to identify a comparable product. Two quotes can use that description while differing in width, power, output, protection, reel length or color option. Use the same model code where one exists. If the supplier proposes an alternative, record the difference as a separate line.

For each line, ask whether power and light-output figures refer to the same unit and whether the quoted configuration matches the sample you reviewed. The datasheet checklist explains which fields to compare together.

Compare the Quotation Line by Line

First separate the strip price from items that may be included by one supplier and excluded by another. Confirm whether the quote covers the strip only or also includes power supplies, controllers, profiles, connectors, lead wires, labels or retail packaging. Do not count an accessory as included because it appears in a reference photo.

Then check the commercial details:

Quote fieldWhat to confirm
QuantityMeters and reels per specification, plus how partial reels are handled
Unit and currencyPrice per meter, reel or set, and the currency used
PackingReel length, individual bag or box, carton count and any requested label or barcode
SampleWhether the sample model and supplied configuration match the quoted item; sample and freight charges if applicable
ScheduleProduction lead-time basis and the event that starts the schedule
PaymentThe proposed terms and any staged payments, stated in the quotation
Quote validityExpiry date and any assumptions tied to quantity, configuration or shipment
Order changesHow changes to model, packaging or approved sample are recorded

These are fields to request; each supplier should state its own offer. If one quote has custom packing and another has standard packing, request an equivalent version before comparing unit prices.

For several models, use a separate row for every specification and quantity. The multi-SKU MOQ guide shows how to organize those rows when minimums apply per specification.

Put Delivery Terms on the Same Basis

Write the named port, place or point, transport mode and the Incoterms edition beside the delivery term. “FOB” or “CIF” on its own does not tell the full story of the offer. The International Chamber of Commerce explains that Incoterms® rules allocate defined delivery responsibilities, costs and risks between seller and buyer; the named place and the chosen rule matter. See the ICC Incoterms® 2020 guidance for the rule wording and examples.

When suppliers quote on different terms, do not compare the totals as if they cover the same route. Ask for a quote on the same term and named location, or request each supplier to identify the charges excluded from its price. For an internal landed-cost estimate, add the goods value, origin charges, international freight, insurance where applicable, destination handling, import charges and local delivery. Keep unknown amounts visible instead of treating them as zero. Destination duties and taxes depend on the importing market; confirm them with the appropriate customs adviser rather than treating them as a factory quote.

The quotation should also name the party arranging each part of the shipment and state what the buyer will need to arrange. A supplier-paid carriage amount does not, by itself, answer who handles every destination charge or when risk transfers under the selected rule.

Use a Comparison Sheet

Keep one row per model and one column per decision field. A compact sheet can include:

  1. Model code and full strip specification.
  2. Quantity and minimum order per specification.
  3. Unit price, currency and included accessories.
  4. Reel, label, carton and packing requirements.
  5. Sample match and any differences from the approved sample.
  6. Delivery term, named place, transport mode and quoted shipment charges.
  7. Schedule, payment terms and quotation expiry.

Score only after the fields are complete. If a quote is missing a technical or commercial detail, mark it “to confirm.” That keeps an attractive but incomplete price from appearing equivalent to a fully specified offer.

Before You Place the Order

Send the selected supplier the final model schedule and ask for a revised quotation or pro forma invoice that repeats the approved specification, quantity, packing and delivery term. Compare it once more with the signed-off sample and the purchase order. Keep any agreed difference visible on the relevant line.

For a wholesale request, submit the model or application, quantity by specification, packing needs and destination through the LED strip quotation form. The site lists a standard MOQ of 500 meters; confirm the applicable minimum against each requested specification in the quote.
