How to Inspect an LED Strip Delivery Before Warehouse Acceptance

LEDStripStar Product Team 6 Minutes Read

Receive LED strip deliveries into a controlled area, check transport condition, reconcile the packing list with the purchase order and verify the selected variants before releasing stock. A warehouse receipt can acknowledge arrival while technical acceptance remains pending; define those statuses in your own procedure. Do not let a delivery signature become the only record of what arrived.

Arrival checks establish the condition and identity of stock now in the buyer’s custody. Even after pre-shipment inspection, the warehouse needs to check for subsequent carton damage or delivery to the wrong site. The factory release record cannot settle those questions.

Keep the arrival evidence before unpacking

Prepare the purchase order, accepted revision, packing list and approved sample reference. Identify who can release stock and who handles discrepancies. Check the carrier’s and contract’s reporting process and deadlines in advance; this checklist does not set a claim deadline or determine liability.

Photograph visible carton damage, wet areas, broken seals and identifying labels before opening affected packages. Record the carton identifier and arrival date with each observation. Keep the original packing where a discrepancy needs investigation. A photograph of several anonymous reels will be difficult to connect to a specific delivery later.

Do not power damp, visibly damaged or unidentified goods. Separate them from available stock and have qualified personnel decide what inspection is safe. Avoid attempting repairs before the responsible parties have enough evidence to review the condition.

Reconcile quantities at the correct level

Count cartons first, then reconcile each order line by model, selected voltage, color, construction and agreed supply length. A complete carton count does not prove the contents match. Follow the agreed receiving plan for opened packages and sampled checks; record which cartons and reels were actually inspected.

For example, the 8mm CRI80 COB family has DC12/24V options in the catalog. A family label without the selected voltage cannot settle an order-line match. A reel that lights also does not establish its CRI or all its rated parameters.

Where the reel label and packing list conflict, mark the stock unresolved. Ask for clarification tied to the carton and reel identifiers instead of relabeling from appearance. Keep separate colors or voltages apart even if the packaging looks similar.

The table is a buyer’s disposition guide, not a defect-rate report or a guarantee that a sampled delivery is defect free.

Keep a hold physically and administratively visible

Mark held stock in the warehouse record and separate it from pickable stock. Record the affected units and reason, together with the reviewer and next action. If a carton remains unresolved, holding only the photographed reel leaves the rest available to installers by mistake.

If functional checks form part of receiving, use the agreed procedure and correct supply. Unroll the strip and mount it safely before energizing; do not test it while wound on its reel. A brief light-on check is different from a full performance test; record what it established and what remains unchecked.

Send a single discrepancy pack with the order reference, quantity affected, carton/reel identifiers, photos and observations. Keep transport damage, wrong specification and electrical failure as separate findings unless evidence connects them. The fault-documentation guide explains what to retain before requesting a product review. Do not assume arrival damage is automatically a warranty claim.

Release stock with its identity intact

Record the released quantity and the person approving it. Carry the model, selected variant and batch reference into picking and site allocation using the traceability plan. Preserve a distinction between inspected units, sampled lots and unopened packages.

For repeat orders, include receiving-label and packing requirements in the quotation brief. LEDStripStar’s ordinary product warranty is 2 years; record the agreed terms without treating that period as a substitute for arrival checks. Resolve an unidentified variant before it becomes an installed strip that has to be removed.
