LED Strip Packaging Specification for Wholesale Orders

The short answer

An LED strip packaging specification should define the product unit, reel, protective bag, inner box, master carton, label data, barcode ownership, packed quantity, carton dimensions and weight, pallet method and any transport test. Approve the artwork and a physical packing sample before mass production.

“Export carton” is not a specification. Neither is “custom logo box.” Those phrases leave the supplier to choose reel size, carton strength, label fields and packing quantity. The result may protect the product but fail at your warehouse, marketplace or customs check.

Start with the route. A full-pallet distributor shipment, mixed cartons for a project site and individual parcels sent to retail customers need different protection and labels.

Specify each packaging layer

Product and reel

State what one saleable unit contains: strip length, connector or lead, controller, plug set, clips, instructions and spare parts. The reel specification should include flange diameter, hub diameter, material, color and any customer mark.

The strip should wind without sharp folds, crushed silicone or excessive tension. Define how the loose end is retained. For neon and thick waterproof constructions, confirm the minimum bend condition and reel size on a packed sample; a reel that works for bare PCB may deform a larger extrusion.

Do not assume reel length equals maximum powered run length. A 50-meter reel can be supplied for handling convenience while the electrical installation still needs shorter feeds. Put both values in separate fields on the specification and label.

Protective bag

Specify bag material, closure, printed warnings and whether moisture or electrostatic protection is required for the exact product. Avoid copying a generic electronics bag specification without checking what is packed and how long it will remain in storage.

If desiccant or a humidity indicator is required, state the type, quantity, placement and replacement rule after the bag is opened. These are controlled packing items, not decorations.

Inner box or retail box

Record internal and external dimensions, board or material requirement, print process, finish, insert, opening method and packed weight. Include a dieline with safe areas, barcode quiet zones and revision number.

Retail claims must match the supplied model. Voltage, watts per meter, color, reel length and IP construction should agree with the data sheet and product label. Do not print certification logos until the buyer has confirmed that the mark and supporting document apply to the exact model and destination.

Make labels useful at receiving

A practical product label usually needs:

  • brand and model code;
  • voltage and rated power information agreed for the model;
  • color, CCT or RGB control type;
  • IP construction, where applicable;
  • reel or set length;
  • batch or lot reference;
  • quantity and unit of measure;
  • country-of-origin wording required by the buyer or destination;
  • customer item number and barcode, if used.

The carton label should add carton quantity, gross and net weight, dimensions, carton sequence and shipping marks. Decide whether mixed models are allowed in one carton. If they are, require a content label that can be checked without opening every inner box.

Who owns the barcode number?

The buyer should supply GTIN, customer item numbers or marketplace identifiers when those numbers belong to its account. Ask the supplier to provide a barcode proof and scan result before printing. Never generate a plausible-looking barcode and assume the retailer will accept it.

For companies using GS1 logistics processes, the GS1 Logistic Label Guideline uses an SSCC to identify an individual logistics unit such as a pallet or parcel. GS1 states that the SSCC is the mandatory element of a GS1 Logistic Label; other human-readable and machine-readable information can be added. This does not mean every LED strip carton needs an SSCC. Use it when the buyer’s warehouse or carrier process requires it.

Control artwork revisions

Put the artwork filename and revision on the purchase order. Keep approved PDFs and a print sample. Before every repeat order, check whether the product, legal text, importer address, barcode, language or carton quantity changed. A supplier should not reuse an old file because the outer design looks similar.

Design the master carton and pallet for the route

The master-carton specification should include:

Very large cartons are not automatically more economical. They can exceed manual-handling limits, crush lower reels or produce unused space that collapses in transit. Ask for a packing drawing with product orientation and carton count per pallet before confirming freight data.

Pallets and solid wood

Define pallet dimensions, material, maximum height, edge boards, stretch wrap, straps and overhang. If solid wood packaging or dunnage is used in international trade, check destination requirements for ISPM 15. The official IPPC ISPM 15 material covers regulated wood packaging used to support, protect or carry goods. Approved marks identify treated wood packaging; the importer or freight partner should confirm the current destination rule.

Plywood, paper honeycomb and plastic pallets may follow different requirements, but suitability still depends on load, warehouse equipment and route. Get approval from the freight forwarder or customer warehouse rather than changing pallet material at the last minute.

Validate the packed product, not only the empty carton

A carton compression result by itself does not show how reels, connectors and silicone extrusions behave inside the pack. Test the product and packaging together.

ISTA’s procedure overview separates integrity screening, partial simulation and general simulation procedures. The correct choice depends on the distribution system and the packaged-product size and weight. A parcel route and a palletized container route do not create the same hazards.

Before selecting a test, define failure criteria:

  • strip, silicone and connectors have no functional damage;
  • reels are not cracked or distorted;
  • labels remain attached and scannable;
  • cartons retain enough strength for the intended handling;
  • product appearance stays within the approved standard;
  • accessories remain in the correct box and quantity.

A test report is useful only when it identifies the actual model, packaging revision, packed weight, test procedure and acceptance result. If the carton or internal arrangement changes, decide whether revalidation is needed.

Run a packing-line trial

Pack a small production-representative batch and time the process. Check whether operators can identify the correct reel, apply labels consistently, scan barcodes and close cartons without forcing the contents. Then perform a count reconciliation: produced units, packed units, samples, rejects and balance.

Add packaging checks to the pre-shipment inspection plan. Inspect cartons across the shipment, including lower pallet layers where compression damage is more likely to appear.

Packaging fields to send with an RFQ

Copy this list into your request:

  1. Product model, configuration and reel or set length.
  2. Sales channel and destination country.
  3. Units per bag, inner box and master carton.
  4. Reel and bag requirements.
  5. Box dimensions, material, artwork and finish.
  6. Product-label and carton-label fields.
  7. Buyer-supplied barcode numbers and required scan grade or verification.
  8. Carton dimensions, target weights and shipping marks.
  9. Pallet dimensions, height, material and wrapping method.
  10. Transport-test or warehouse requirements.
  11. Approved artwork and packing-sample process.
  12. Change-control rule for repeat orders.

Packaging cost and minimums depend on the construction, print process, quantity and supplier. Send the required pack with the product specification through the quote form.
